Party With Me 4 i.d. (“PWM4id”, “we”, “us”) is a Nevada nonprofit corporation with its principal place of business at 304 S. Jones Blvd. #6124, Las Vegas, NV 89107. This policy explains what we collect through this website, why we collect it, where it is kept, who can see it, and how to ask us to change or remove it.
It covers this website. Once a membership is approved we use the Band app for day-to-day communication, and membership fees are paid through Zelle. Those are run by other companies, under their own privacy policies, and this document does not speak for them.
What You Give Us
We collect what you type into one of our three forms, and nothing else. There is no account to create, and nothing to fill in before you can read the site.
Registering for an event records the event, your full name, email address, phone number if you give one, how many VIPs and guests are coming, the names of additional guests, any accessibility or seating needs, what you are bringing to a potluck, any questions or comments, your answers to the agreement checkboxes, your yes or no on photographs, and which language you used.
Volunteering records the event, your full name, phone number, email address, the shifts you can cover, anything else you tell us, and the language you used.
Joining as a member records your full name, email address, phone number, the part of the valley you live in, your VIP’s name and age, their interests, a t-shirt size, how they communicate, sensory and environmental considerations, accommodations and tips for our hosts, allergies and dietary restrictions, an emergency contact, your answers to the agreement checkboxes, your yes or no on photographs, and the language you used.
Information About Disability, Health and Diet
The membership form asks how your VIP communicates, what sensory conditions suit them, what accommodations help, and about allergies and dietary restrictions. We ask because our volunteers and activity hosts use it to set a room up well, plan something your VIP will enjoy, and keep food safe.
It is used for that and for nothing else. We do not use it to decide whether somebody may join, we do not build profiles from it, and we do not pass it to anyone outside PWM4id.
What Is Recorded Automatically
When a form is sent we also record the date and time it arrived, which form it was, and the IP address it came from. The IP address is stored alongside the answers, and is used for a short while to limit how many submissions one connection can make in an hour, which is how automated spam is kept out.
We use no analytics, no advertising trackers and no social media pixels. Nothing on this site follows you to other websites.
Where It Is Kept, and Who Can See It
Every submission is written to a file on our web server that sits outside the public website folder, so it cannot be reached from the web at all. A copy is emailed to the organisers, and for event registrations and membership sign-ups a confirmation is emailed to you as well.
Those records are read through a password-protected admin area that only PWM4id organisers can sign in to. When a record is deleted there, a backup is kept so that a deletion made by mistake can be undone.
We do not sell your information and we do not share it with anyone outside PWM4id. The only exceptions are the ordinary ones: our web host stores the files, and our email provider carries the messages.
How Long We Keep It
We keep records for as long as we need them to run our events, stay in touch with our members and meet our obligations as a nonprofit. We do not have a fixed deletion schedule. You can ask us to remove your family’s record at any time, and we will.
Asking What We Hold, or Asking Us to Remove It
Email partywithme4id@gmail.com to ask what we hold about your family, to correct anything that is wrong, or to have your record removed. Please write from the address you signed up with, or tell us enough for us to find you.
Whether we may photograph your participant is a separate answer you give on every form, and you can change it whenever you like — see the Photo & Video Permission document.
Your Browser
This site sets no tracking cookies. The one cookie it can set is a sign-in session for the admin area, which only affects organisers.
While you are filling in one of our longer forms, your browser saves what you have typed so far on your own device, so a closed tab does not cost you the whole form. That draft never leaves your device and is cleared once the form is sent.
Our pages load their typefaces from Google Fonts. Your browser fetches those files from Google, which means Google receives that request and the IP address it came from. Nothing else on the site is loaded from another company.
Who Fills These Forms In
Our forms are completed by a parent, guardian or caregiver rather than by the participant. If you believe somebody has given us information about a person they are not responsible for, email us and we will remove it.
Changes to This Policy
If we change this policy, the date at the top of this page changes with it. If a change actually matters — if we begin collecting something new, or use what we already hold for something different — we will tell our families rather than leave it here to be discovered.
